Performs a wide range of administrative duties related to the operation of the Parks and Recreation including but not limited to the administration of operating budgets including snow and ice removal, sending warrants and turnovers to appropriate Town department staff the collection of fees related to department-issued permits, the collection of Sports or event fees and working with UNIPAY, inventory control, the maintenance of parks and recreation records including the processing of new employee personnel files including overtime; maintains department supplies and good working order office equipment, sports and program equipment. Working with the Town administrators' office with parks and recreation programs volunteers, employee CORI checks.
Provides administrative support to the Parks and Recreation Commission, and department staff, (coordinators, directors, instructors, managers, volunteers, coaches, assistants, referees, and umpires.) Such as the scheduling of games or programs, and umpires, referees and park bookings, registration of indivisible for programs, events.
Prepare the department's payroll for Parks and Recreation Commission authorized member signature including inputting and maintenance of employee time sheets into the payroll software system, tracking and reconciling employee leave time earned and taken, administering contractual pay changes and preparing related department budgetary reports.
Responsible for the administration of all department vendor contracts (Warrants) for Parks and Recreation Commission. Takes the minutes for Parks and Recreation monthly commission meetings. Works with the Commissions Receptionist each week. Delivers flyers to local schools and library in addition to checking the post office box twice weekly.
Assists the Parks and Recreation commission with administering department grants received, including preparing required support documentation.
Receives visitors to the department, answers questions pertaining to department operations, and furnishes information to the public and town officials concerning department operating policies, rules and regulations; receives complaints and responds approp1iately referral to parks and recreation commissions Chair to resolve issues or designated Commissioner by the board.
Ensures the accuracy of department employee personnel files and related department materials; maintains highly confidential department files and 1rncks in-coming correspondence.
