The Community Services Department – Recreation and Parks Division is seeking an upbeat, self-motivated, and detail-oriented individual with excellent phone etiquette to fill the Administrative Assistant position. This role performs a wide range of administrative duties in support of the department’s operations, functions, and programs, and requires someone capable of working independently. Work is performed in a busy office setting. While primarily sedentary, the position requires extended periods of sitting, standing, and walking. Frequent interruptions are common, ranging from phone calls to in-person visits.  The ideal candidate will be highly organized, adaptable, and able to manage multiple priorities in a dynamic environment.

Schedule:
Monday - Friday: 8:30 AM – 4:30 PM 
(37.50 hours per week)

Primary Location: 
Cole Center

Responsibilities include:

  • Serve as the lead administrator for the department’s community pass registration and scheduling software; data input, reporting, problem solving; staff/volunteer training and class/activity registrations.
  • Attend to visitors, answer the phone, order office supplies and maintain various records.
  • Update, revise and maintain the department’s website. Write material and supply content in a timely manner.
  • Create and maintain membership database records.
  • Train reception staff and volunteers.
  • Create and design flyers, newsletters. Program booklets, signage and other written materials.
  • Create social media content
  • Support special and seasonal events include organizing supplies, lists, and volunteers as assigned.
  • Oversee maintenance of all office technology including computers, software, network copy machines, telephones and printers.
  • Maintain confidential CORI/SORI records
  • Assist with summer camp administration and confidential camper paperwork
  • Regular attendance at the workplace is required.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Associate’s degree preferred.
  • Proficiency in Microsoft Office Suite, Google Workspace, Excel, and Munis.
  • Strong communication, customer service, and time management skills.
  • Three to five years of experience in recordkeeping and customer service.
  • General knowledge of municipal government operations is preferred.

Starting rate:
 
 $ 26.5265 hour at Step 1.  The full pay scale ranges from $26.5265-$31.8887 per hour, with step increases outlined in the union agreement.  This full-time position includes a lucrative benefits package, including health, dental, vision, life insurance, a defined contribution retirement plan, and more.
